Privacy, Text Messages & a Few Things We Should Say Plainly

We handle tax returns, bank details and identity documents, so you have every right to know what happens to them. Here is what we collect, what we do with it, what we will never do with it, and a few things about our work we would rather tell you up front than have you find out later.

Who we are

We are Turneround Solutions Financial and Tax LLC — Turneround Solutions for short — Phillip and Maria G. Turner, at 15424 Main St in Lytle, Texas. Call or text us at (210) 946-1800, or email info@turneroundsolutions.com.

Because we prepare tax returns and handle bookkeeping and payroll, federal law counts us as a financial institution, and the Gramm–Leach–Bliley Act says we have to put in writing how we look after your personal information. This page is that. We have tried to write it the way we would explain it to you across the desk.

What we ask you for

Only what the job actually needs. Depending on what you have asked us to do, that can include:

  • Your name, address, email and phone numbers, including your cell.
  • Your Social Security number or ITIN, your date of birth, and the same for your spouse and children.
  • Your income and deduction documents — W-2s, 1099s, K-1s, mortgage interest statements, receipts, and so on.
  • Bank account and routing numbers, if you want direct deposit or direct debit.
  • Business records, payroll records and sales figures, if we keep your books.
  • Identity documents we are required to see, like a driver’s license or passport.
  • Notes from our conversations, and copies of letters back and forth.

Most of it comes straight from you. Some comes from the IRS or a state agency once you have authorized us to act for you, and some from your previous preparer when you ask us to go and get your file.

What we do with it

We use it to do the work you hired us for, and that is the whole list: preparing and filing your returns, keeping your books, running your payroll, making the filings you asked for, notarizing documents, staying in touch with you about your work, and keeping the records we are required to keep.

Who else ever sees it

We do not sell your information, we do not rent it, and we do not pass it along to anyone so they can market to you. Here is the complete list of who does see it:

  • The agencies we file with — the IRS, the Texas Comptroller, the Texas Secretary of State and the like, because that is what filing means.
  • The software we run the office on — our tax preparation program, our secure document storage, our secure messaging. They are bound to protect it and may only use it to provide that service to us.
  • Anyone you tell us to, in writing — sending a copy of your return to your mortgage lender, for instance.
  • Whoever the law says we must — a court order, a subpoena, a lawful demand from a government agency.

Your tax return has a law of its own looking after it

Section 7216 of the tax code is strict with people in our line of work: we cannot use or share what is in your return for anything other than preparing that return unless you have given us written permission first. So your tax information stays your tax information. We will not quietly turn it into a sales list — not for insurance, not for anything else. If we ever wanted to use it for something outside your return, we would ask you in writing, and no is a perfectly good answer.

Your cell number and your text consent

Put simply: your cell number stays with us. In the words the phone companies ask us to use —

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All other categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

Texting

Texting is usually the fastest way to catch someone about a missing form or a return that is ready to sign, so we use it. Here is how it works.

What we send
Messages about your own work with us: appointment reminders and confirmations, a nudge for a document we are still missing, a heads-up that your return is ready to look over and sign, confirmation that a filing went through, and answers when you write to us. We never send marketing or promotional texts.
Our number
Texts come from (210) 946-1800. Reply to it and you reach us — it is not a no-reply line.
How you got on the list
One of three ways:
  1. You wrote your cell number on the intake and engagement paperwork you signed with us, which says we may text you about your work.
  2. You told us in person or over the phone, and we noted the date and who took it in your file.
  3. You texted us first, and we answered.
We do not buy phone numbers, and we do not text people who are not clients.
How often
It depends what we are doing for you. While a return is in progress it is usually a handful of messages; the rest of the year it may be none at all for months. If you are going back and forth with us, you will get as many replies as the conversation needs.
Cost
We do not charge you anything for texts. Message and data rates may apply from your own cell carrier.
To stop
Reply STOP to any message. You will get one confirmation and then we will leave you alone. Stopping texts does not cancel anything — we will call or email instead. Want them back? Reply START, or just tell us.
Need help
Reply HELP to any message, call (210) 946-1800, or email info@turneroundsolutions.com.
Carriers
Delivery is not guaranteed, and cell carriers are not liable for messages that show up late or not at all.
What never goes in a text
Social Security numbers, bank account numbers, or the contents of your tax documents. If something sensitive needs to reach you, we will use a secure channel or ask you to come by.

Keeping it safe

We keep a written security plan, which the Federal Trade Commission’s Safeguards Rule and IRS Publication 4557 both require of tax preparers. Day to day that means paper files get locked up, our computers and accounts take more than a password to get into, client documents live in encrypted storage, only the people working on your file can open it, and we go back over the whole thing at least once a year.

No system is perfect. If a break-in ever touched your information, we would tell you, and we would tell the authorities, exactly as the law requires.

How long we keep it, and what you can ask for

We hold on to client records for at least seven years after the last year we worked for you. Tax and business records have a way of being needed long after the fact. After that we destroy them securely.

Any time you like, you can ask us for a copy of what we hold on you, ask us to fix something that is wrong, ask us to quit texting or emailing, or ask us to get rid of records we are not required to keep. Just call or email. There is no charge, and we will not treat you any differently for asking.

A few things we should say plainly

We are not a CPA firm

Neither of us is a Certified Public Accountant, and Turneround Solutions is not a CPA firm. We do not do audits, reviews, compilations or any other attest work, so nothing we hand you should be passed off as an audited or CPA-certified financial statement. Our accounting side is bookkeeping, financial reporting and payroll — done carefully, just not done by a CPA.

Our notary is not a lawyer

I am not an attorney licensed to practice law in Texas, and I may not give legal advice or accept fees for legal advice.

No soy un abogado con licencia para ejercer la abogacía en Texas, y no puedo dar consejos legales ni aceptar honorarios por consejos legales.

A Texas notary can witness and certify a signature. A notary cannot tell you what a document means, whether you ought to sign it, or how to fill it out — that is a lawyer’s job, and we will say so rather than guess. We also do not use the words notario or notario público, because in a lot of countries those mean a licensed attorney, and here they do not.

About results

We prepare your return from what you give us, and we are counting on it being complete and accurate — we do not audit it or check it independently. Nobody can promise you a particular refund, a particular tax result, or that a return will not be picked for review, so we will not pretend otherwise. If yours does get looked at, we will help you answer it. That is separate work and we would quote it separately.

Insurance

Maria holds a Texas Life & Health insurance license. That is a separate line of business from the tax and accounting work, it is not part of your engagement with Turneround Solutions, and we will not use anything in your tax return as a reason to bring it up. This website does not advertise, describe or offer any insurance plan.

Fees

Fees depend on the work. We will tell you the price before we start, and if something turns out bigger than we quoted, we will tell you before we do it rather than after. We do not base our fee on the size of your refund.

This website

Nothing here is tax, legal, accounting or insurance advice for your particular situation, and reading it does not make you a client — that starts when we both sign an engagement. We keep the site accurate, but tax rules move constantly. Where we link out to somebody else, such as the IRS, what is on their site is theirs, not ours.

Questions

If we change this page we will change the date at the top. If it is a significant change about how we handle your information, we will tell our clients directly rather than leave it here to be found.
